12.2 - New features in moveon 3.1.00

1- Exporting data directly from forms into MS Excel

Certain tabs on moveon forms include lists of data associated with the selected element. For example, the "Institutions" form has a list of mobilities associated with the institution on the "Mobilities" tab, while the "Fundings" form has a list of entries and grants associated with the funding on the "Entries" and "Grants" tabs. Each of these tabs includes an "Export to MS Excel" button, which can be used to export the list directly to MS Excel without having to use selection forms.


2- Managing active/inactive elements for faculties, fields of study, courses, contacts and programmes

It was already possible to activate/deactivate contacts (internal and external), exchange possibilities and reference table elements (faculties, fields of study, mobility programmes, etc.). Now the active/inactive status is taken into account by the entire software: deactivated elements are no longer included in lists when adding or editing data.

If an inactive element was previously used in moveon, it now appears in brackets in the forms in which it was selected.


3- Updated subject area code list

The European Commission has changed the coding system it uses for study and teaching subject areas. This coding system now corresponds to the international ISCED coding system and no longer includes 4-digit codes. The subject area code list has therefore been updated in moveon, so it now contains only 1-, 2- or 3-digit codes. The codes 9, 99 and 999 are now used to identify "Unknown or not specified" fields of study. If a 4-digit code was previously used in moveon, it now appears in brackets in the forms in which it was selected.


4- Managing multilateral cooperations

If a cooperation is identified by the "multilateral" type, more than one institution can now be associated with this cooperation. This avoids the need to repeatedly enter a cooperation for each institution. The multilateral cooperation is defined just once and appears on the page for each associated institution. Associated institutions for a multilateral cooperation are defined on the "Institutions" tab of the "Cooperations" form.

5- Applications displayed on the "Mobilities" tab of the "Institutions" form.

The "Mobilities" tab of the "Institutions" form now also contains the list of applications from outgoing students associated with the selected institution. To access this list select the "Applications" option on this tab.

A drop-down list allows you to filter applications by academic year. Click the Details button to view the details of the corresponding student.

6- Adding agreements without a "valid until" year

For agreements other than Erasmus agreements, the "valid until" year for the agreement is now optional.

An agreement can be added on the "Agreements" tab of the "Institutions" form by clicking Add.


7- New "Mobilities’ data" menu option

To access mobility data more quickly without having to go via the "Persons" form you can now select the new "Mobilities’ data" option on the "Mobilities" menu. This menu option opens the "Mobilities" form directly.

8- No limit to the list of countries when adding a mobility without exchange

When adding a mobility without exchange, the drop-down list of countries was previously limited to countries in which an institution is defined in moveon. As naming the institution is now optional for a mobility without exchange, the list of countries now includes every country of the world. The "Unknown" country can be used if the country has not yet been identified, for example when looking for a work placement.


9- Entering the faculty and field of study for staff mobilities

In the "Activity" tab of the "Mobilities" form you can now enter an associated faculty and field of study in your institution for staff on mobility.


10- Application date and number in the "Mobilities" form

The "Mobilities" form now includes an application number and date for incoming and outgoing student mobilities. If online applications are used, these fields are completed automatically. Otherwise they can be filled in manually.


11- Editing basic application data

You can now edit basic application data - such as institution, faculty or field of study - retrospectively. To do this click the new "Edit basic data" button in the "Applications" form.


12- Grouped transfer of applications to mobility

It is now possible to transfer multiple applications to mobility at the same time. To do this, use the "Selection of applications" form to select the applications to be transferred and then in the "Actions" form click the new "Transfer selected applications to mobility" button in the "Tools" Tab.


13- Duplicating fundings

Fundings defined in moveon can now be duplicated so as to carry the configuration forward from one year to the next. To do this use the new "Duplicate" button on the "Tools" tab of the "Fundings" form. This button can be used to add a funding by copying the configuration of the old funding, for example: funding institution, grant statuses, utilisation types.


14- Adding an entry number

For each entry (e.g. a payment to a student) entered in moveon it is now possible to assign an entry number. This field can be used to show a reference from your institution's accounting software in moveon.

The window for adding or editing an entry can be accessed from the "Grants" form or from the "Entries" tab of the "Fundings" form.
