3.4 - Data forms

Data forms can be used to view, add or edit the various data items managed in moveon: institutions, contacts, persons, mobilities, funding, grants, etc. The main data forms can be accessed from each menu item by clicking "... data". The data forms all have a similar structure, as described in this section. A detailed description of the forms can be found in the sections relating to the individual areas of use.

1- Upper part

The upper part of the forms contains a selection bar including one or more drop-down lists, which can be used to select the item to be viewed or edited. You can enter the first few letters of the name of the item in these fields (e.g. the first few letters of the surname if you are looking for a person). moveon then automatically displays the corresponding item.

Some of the forms also include a year filter, which allows you to select only those items corresponding to a particular year. To select all years, simply select "-", which appears at the very top of the drop-down list. When the forms are opened, the current year is selected automatically.

2- Tabs

The lower part of the forms displays a number of different tabs containing details of the selected item and lists of associated items. For an institution, for example, the various tabs show lists of cooperations, exchanges, contacts, student and staff mobilities. For a person they show address details, personal details, mobilities, etc.

3- Footer bar

The footer bar shows the software version and the name of the current user together with the date on which the current item was last changed and the name of the user who made that change.

4- Viewing, adding, editing, deleting items

Each data form offers two display modes: view and edit.

View mode

View mode is the default display mode for data forms. Data fields have a white background and cannot be edited. All navigation elements and buttons are enabled.

Edit mode

Edit mode allows you to add new data or edit existing data. Data fields which can be edited have a blue background. Mandatory data fields have a red frame. All navigation elements are disabled. You cannot switch to another form until you have finished editing the current item.

Editing an item

To edit the data in a form, click the Edit button in the top right of the screen. This button switches the form to edit mode.

Once you have finished editing the data, click Confirm to save the changes. Clicking Cancel returns you to view mode without saving the changes.

The basic data for certain items cannot be edited in this way: for example the first and last names of persons or contacts and the country and name of an institution. To edit this data, click the Edit basic data button on the "Tools" tab. This button opens a new window in which you can edit basic data.

Adding an item

To add a new item from a list or form, click Add. A window opens in edit mode in which you can enter the basic data for the item. Once you have entered the data, click Confirm to add the item or Cancel to cancel the addition.

Deleting an item

To delete an item from a list or form, click Delete.

If you cannot see the Delete button in the form, you will find it in the "Tools" tab.

When you click Delete, you will be prompted to confirm that you wish to delete the data.

If other items refer to the item you wish to delete, an error message will be displayed telling you that you cannot delete the item and listing the items with which it is associated. Before you can delete the item you will have to delete all references to it.

Viewing details of an item in a list

Some form tabs display a list of items associated with the selected item, such as the contacts in an institution. To view the details of one of these items, click Details. This button opens the corresponding data form, in which you can view or edit the item data.
